VRUKSHAM HRMS OVERVIEW
In any organization, the Human Resources department is the most
over worked and least computerized. Computerization has been limited
to using MS Word and MS Excel. The biggest deterrent has been
the exorbitant pricing of Integrated VRUKSHAM HRMS packages like
People Soft.
HR departments generate tremendous amount of paper. VRUKSHAM
HRMS attempts to cut papers and paper movement by over 90% by
using a combination of document archiving / retrieval system and
workflow. Information is available on the fingertips and records
are updated online. The system has been designed keeping in mind
the stringent ISO 9000 : 2000 standards.
MODULES
The details of various modules of HRMS is presented below: -
- EMPLOYEE DETAILS
This is a one-stop shop where all the details of the employee
right from his joining date, blood group, passport number, pf
details, etc.
- EMPLOYEE RECORDS
All the employee records are maintained right from appointment
letter, confirmation letter, increment letters, commendation
letters, warning letters, etc.
- LEAVE MANAGEMENT
Employees can apply for leave electronically. On application,
email goes to the reporting boss who sanctions or rejects it
on-line. Employee and the HR department get confirmation and
the leave records are updated immediately. PL, CL and SL are
credited by the system. The press of a button generates month
end statement for the payroll department.
- TRAINING SYSTEM
The training system has three phases :-
- Need identification phase
- Implementation phase
- Evaluation phase
The training needs of the employees can be entered electronically,
consolidated and training programs conducted. The Employee
training records are updated automatically. The system also
allows on-line entry of training feedback sheets, does all
the calculations with respect to rank / weight and computes
overall training program rating.

PERFORMANCE APPRAISAL SYSTEM
Apart from Job responsibilities, organizations define Key
Result Areas or KRAs for each individual employees normally
on a quarterly basis. The system keeps track of the KRAs and
helps in performance appraisal of the employees.

WELFARE AND WORKING CONDITIONS
A mandatory clause in ISO, it is also essential for organizations
to gather feedback on Welfare and Working Conditions from
each employee, consolidate the same which will be the basis
of corrective and preventive action.

RESUME TRACKER
Organizations receive resumes from different sources. Resume
tracker helps in indexing the resumes and matching them with
the requirements as and when they come up. The status of the
short listed candidates is tracked ( HR round, Technical Round,
Final Round ) etc. till the candidate is either selected or
rejected.

EX-EMPLOYEE DETAILS
Even if an employee leaves the organization, he continues
to be the good will ambassador for the company. This module
helps in keeping track of the employee, transferring PF, Calculation
of Gratuity, birth day, etc. which will enable the organization
to continue keeping in touch.
